1. Who we are
Spider Platform Hire Ltd is the data controller responsible for the personal
data you provide through the Parallel North client portal. If you have any questions about

2. What data we collect
- Contact & account details — your name, company name, email address and phone number.
- Photo ID — a photograph of a government-issued identity document (e.g. passport or driving licence).
- Insurance document — a certificate or policy document confirming your public liability insurance.
- Digital signature — a handwritten signature captured electronically to acknowledge our terms and conditions.
- Technical data — IP address and timestamp recorded at the point of GDPR consent and document signing.
3. Why we collect it
- Verify your identity — to confirm that equipment is hired to known, legitimate businesses.
- Verify adequate insurance — a legal and commercial requirement before platform hire can be agreed.
- Contractual obligation — to record that you have agreed to our hire terms and conditions.
- Legal basis — processing is necessary for the performance of a contract (UK GDPR Article 6(1)(b)) and, where required, on the basis of your explicit consent (Article 6(1)(a)).
4. How long we keep it
We retain your personal data — including identity documents — for
2 years
from the date of submission. After that period, all documents are securely deleted and
any personal identifiers in your account record are anonymised.
5. How we protect your data
- All uploaded documents are encrypted at rest using AES-256-GCM before being written to disk.
- Documents are accessible only to authorised Spider Platform Hire staff via a secure, authenticated portal.
- Every staff access to a document is recorded in an audit log (who, when, which document).
- Data is stored on servers located in the United Kingdom / EEA.
- We do not share your documents with any third parties.
6. Your rights
Under UK GDPR you have the right to:
- Access — request a copy of the personal data we hold about you.
- Rectification — ask us to correct inaccurate data.
- Erasure — ask us to delete your personal data (subject to our legal obligations).
- Restriction — ask us to limit how we process your data.
- Objection — object to processing based on legitimate interests.
- Portability — receive your data in a structured, machine-readable format.

We will respond within 30 days. You also have the right to lodge a complaint with the
Information Commissioner's Office (ICO).
7. Cookies
The client portal uses a single session cookie to keep you signed in. No third-party
tracking or advertising cookies are used.
